Filing is a way of keeping and classifying records so that they can be referred to easily whenever they are needed. A good filing system should have the following characteristics :
a) Compactness - it should not take up a lot of space.
b) Accessibility - The files should be easily accessed by users.
c) Safety - it should be safe from hazards like fire, adverse weather and water. Security should also include protection from unauthorised persons.
d) Simplicity - It should be simple to understand and operate.
e) Economical - The system should not be too expensive to start and maintain.
f) Flexibility - The filling system should be flexible and able to allow expansion or even adoption of modern technology.
g) Suitability - It should suit the needs of the organisation.
h) Cross referencing - It should allow cross reference where necessary.
i) Classification - Files should be labelled.
